Booking Terms
We’re committed to delivering a seamless, high-quality outdoor movie experience. The policies below help ensure clear expectations, protect our equipment, and create a smooth event for everyone involved.
By booking with Lone Star Cinema, you agree to the following terms.
1. Payment Terms
All bookings are subject to review and approval by Lone Star Cinema to ensure the event falls within our service area, operational range, and availability.
Payment is not charged at the time of booking submission.
Once your booking is reviewed and approved, your full payment will be processed using the payment method provided at checkout.
Bookings are not confirmed until approval is completed and payment has been successfully processed.
If a booking request cannot be approved, no payment will be collected.
2. Weather Policy
Safety is our top priority.
If unsafe weather conditions (including rain, lightning, or high winds) prevent the event from taking place, we will offer one complimentary reschedule.
If a reschedule cannot be agreed upon, a full refund will be issued.
Weather-related decisions are made at the discretion of Lone Star Cinema based on safety considerations and forecast conditions.
3. Cancellation & Rescheduling Policy
Cancellations made more than 72 hours prior to the scheduled event time will receive a full refund.
Cancellations or reschedule requests made within 72 hours of the event are non-refundable and not eligible for rescheduling.
Each booking includes one complimentary reschedule when requested more than 72 hours before the scheduled event date.
Rescheduled events are non-refundable.
No-shows are non-refundable and not eligible for rescheduling.
4. Setup & Event Timing
Our team will arrive approximately 30 to 90 minutes prior to your scheduled viewing time to complete setup.
Each package includes a standard runtime (typically up to three hours unless otherwise stated). At the conclusion of the agreed runtime, our team will begin takedown promptly.
If additional viewing time is desired, the Extended Viewing Time add-on must be selected at booking and is subject to availability.
Access to the setup area must be clear and unobstructed at arrival time.
5. Equipment Care & Responsibility
Customers agree to treat all provided equipment with care.
- The booking client is responsible for the equipment during the rental period.
- Equipment may not be moved, adjusted, climbed on, or modified once installed.
- Children must be supervised around all equipment and cables.
- Pets and animals must be kept secured and away from all equipment, screens, cables, and power sources.
- Any damage caused by negligence, misuse, pets, guests, or environmental interference may result in repair or replacement charges.
- Normal wear and tear is covered by Lone Star Cinema.
- Any damage must be reported immediately to our team.
6. Safety & Event Environment
The booking client is responsible for maintaining a safe event environment for all attendees.
This includes:
- Ensuring a stable, level setup area
- Keeping walkways clear of hazards
- Supervising children near equipment
- Monitoring open flame elements (such as s’mores stations, if selected)
Lone Star Cinema reserves the right to suspend or discontinue equipment use if unsafe conditions arise.
7. Liability
Lone Star Cinema provides professional setup and general guidance for safe operation.
However, we are not responsible for:
- Personal injury
- Property damage
- Accidents occurring at the event location
- Losses resulting from improper supervision or misuse of equipment
By booking, you acknowledge and agree to these terms.
8. Add-Ons & Enhancements
Add-ons (such as concessions, power upgrades, seating, or extended viewing time) must be selected at the time of booking and are subject to availability.
- Add-ons are confirmed at booking and reserved specifically for your event.
- Add-ons follow the same cancellation policy as the base package.
- Add-ons are refundable only if the event is canceled more than 72 hours prior to the scheduled event time.
Certain add-ons may not be available depending on your selected package or event setup.
9. Force Majeure
Lone Star Cinema shall not be held liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to natural disasters, government actions, power outages, road closures, venue restrictions, or other unforeseen events that make the event unsafe or impossible to conduct.
In such cases, we will work with the client to reschedule when possible.
