Terms.

By booking with Lone Star Cinema, you agree to the terms below. They cover payment, weather, the night itself, the movie you play, and the gear we bring.

Payment

You pay a deposit at checkout to hold the date — that deposit is part of the total, not extra. We charge the remaining balance to the same card 72 hours before the event. Optional add-ons you choose when you book — portable power or an on-site AV technician on backyard nights — are part of that total, not extra on the night. The night is confirmed once the deposit goes through. Residential nights need at least 72 hours’ notice, so last-minute dates aren’t available on the site.

By booking, you authorize that remaining-balance charge on the card on file. If it doesn’t go through, we’ll email you to update the card. The night stays on the calendar until we can collect — or we cancel it. If we still can’t collect before the event, we can cancel and keep the deposit. A payment dispute or chargeback is treated the same as a cancellation under these terms.

If the address is outside our usual range, we don’t take a deposit with the first request. We’ll follow up within 24 hours with a custom quote. If you accept, a quoted deposit holds the date, and the remaining balance is charged 72 hours before the event.

Community and corporate nights are quoted by hand. There’s no payment with the request. Deposit and remaining-balance terms will be in the quote.

If we can’t take the booking, we won’t collect anything new, and we’ll refund any deposit already paid.

Weather

Safety comes first. If rain, lightning, or high winds make the night unsafe, we’ll offer one complimentary reschedule. If we can’t agree on a new date, you’ll get a full refund. We make that call from the forecast and what’s safe on the ground.

Canceling and rescheduling

Cancel more than 72 hours before the scheduled event and you’ll get a full refund of the deposit. We will not charge the remaining balance. You can also use one complimentary reschedule when you ask more than 72 hours out.

Cancel between 72 hours and 24 hours before the event and the deposit stays with us. We refund 75% of the remaining balance charged 72 hours before the event. Reschedule requests inside 72 hours are not permitted — unless weather doesn’t allow the night, or we cancel it.

Cancellations inside 24 hours of the event are non-refundable — unless weather doesn’t allow the night, or we cancel it. Those nights follow the weather terms above: one complimentary reschedule, or a full refund if we can’t agree on a new date.

After that complimentary reschedule, the new date is non-refundable. If nobody is there when we arrive, the night is non-refundable and not eligible to move.

The night

We arrive early — usually 30 to 90 minutes before viewing time — to set up the inflatable screen, projector, and sound. Each night includes up to three hours of viewing unless we confirm something different in writing beforehand. Those three hours start at the viewing time you booked, not whenever the movie actually starts. When that runtime is up, we start takedown — even if the film isn’t over.

If we’re delayed because the area isn’t ready, a gate is locked, or nobody is there to let us in, we still pack up when the window is over. Extra time isn’t included.

We may photograph the setup and equipment for our site and socials. Tell us before the night if you’d rather we didn’t. We won’t use close, identifiable photos of children without your okay.

The movie

You provide the movie — through wireless casting, HDMI, or a compatible player. We provide the screen, projector, and sound. We don’t supply films, streaming accounts, or licenses.

You’re responsible for having the right to show whatever you play. A disc you own or a personal streaming login is not always enough, especially for HOA, school, church, park, or other community nights. Public and outdoor group screenings often need a separate license. Streaming services and sports broadcasts have their own rules, and we don’t police or obtain those for you.

You’re also the one who decides whether the content is appropriate for the guests you invited, including kids.

If a studio, streamer, sports league, or anyone else makes a claim about what was shown, that’s on you. You agree to cover us for those claims.

The site

You confirm you have the right to host the night at the address you give us — as the owner, with the owner’s permission, or with whatever HOA, venue, or city approval the location needs. Permits, park reservations, HOA rules, noise ordinances, and neighbor issues are yours to handle.

Someone 18 or older needs to be there when we arrive, with a clear, reasonably level setup area and a way for us to get the gear in. If we can’t set up because we don’t have permission, access, or a usable space, the night is treated like a no-show: non-refundable and not eligible to move.

Tell us about sprinklers, septic, wells, or other buried lines in the setup area. We aren’t responsible for underground damage we couldn’t reasonably know about.

Equipment and safety

Treat the equipment with care. Don’t move, adjust, climb on, or modify it once it’s up. Supervise children around screens, cables, and power. Keep pets secured and away from the gear.

You’re responsible for the equipment during the rental and for any damage from guests, pets, misuse, or neglect. Normal wear and tear is on us. Tell us right away if something is damaged. If it’s damaged beyond normal wear, you’re responsible for the repair or the cost to replace it — including the screen, projector, speakers, cables, and power equipment.

You’re also responsible for a safe event space: a stable, level setup area, clear walkways, and kids kept away from the gear. We can pause or stop the night if the space isn’t safe, guests are interfering with the gear, or we can’t legally or reasonably continue. Stopping for those reasons doesn’t create a refund.

While we’re away

On backyard nights we normally finish setup before showtime and come back for takedown. An on-site AV technician is an add-on if you want someone with the gear the whole time. Community and corporate nights already include a technician on site.

When we aren’t on site, you’re in charge of the equipment, the guests, and the space. That includes keeping kids, pets, and drinks away from the gear, and not moving or adjusting anything. Anything that happens to the equipment — or because of it — while we’re gone is treated like damage or misuse under the equipment terms above, unless it was a failure of the gear itself.

If the gear doesn’t work

We maintain our equipment and expect it to work. We check it before we come out, and we’ll do our best to keep the picture and sound running once we’re there. Outdoor nights still have limits: a projector, screen, speaker, cable, or power source can fail, and wireless casting or HDMI can drop even when everything was fine at setup.

If something on our side acts up, we’ll try to fix it on the spot. If we can’t reasonably finish the night because of our equipment, we’ll offer one complimentary reschedule. If we can’t agree on a new date, you’ll get a full refund. That reschedule or refund is the only remedy for equipment trouble.

You’re responsible for the movie and how it gets to the projector — your device, streaming account, HDMI player, and any Wi-Fi or cellular connection you use to cast. We aren’t liable if the picture or sound is interrupted because of that connection, a device that won’t play nice, or a power outlet at the location that fails (unless you booked portable power and that unit is what went down).

Things we cannot control

We aren’t liable if we can’t perform because of things outside our reasonable control — including natural disasters, government actions, power outages, road closures, venue restrictions, or other events that make the night unsafe or impossible. We’ll work with you to reschedule when we can.

If a claim comes up

Except where Texas law doesn’t allow it, our responsibility for a night is limited to what you paid us for that booking. We aren’t liable for missed moments, guest inconvenience, extra costs you incurred, or any other losses beyond the booking itself. A booking isn’t a warranty that every minute of the night will be perfect.

You’re responsible for your guests, your movie, and the property. If a claim comes from those, you agree to cover us — including reasonable legal costs — unless the claim is about harm we caused by our own serious carelessness or misconduct.

We’re not responsible for personal injury, property damage, or accidents at the event location, or for losses from improper supervision or misuse of the equipment, except to the extent Texas law says we can’t pass that on.

Texas law

These terms are governed by Texas law. If we ever end up in court, it will be in Hays County, Texas. The version of these terms that applied when you booked is the one that counts.

We use the details you give us to run the booking and talk to you about it. We don’t sell them. More in our privacy policy.
